Every project starts with named document slots before a single file is uploaded. An empty slot is a visible gap, so a lapsed clearance certificate is something you see today, not something you learn at close-out.

Renewals land in the same slot.
A slot holds one document, many, or a recurring series. In a recurring slot the newest valid document is current, so a quarterly clearance certificate never becomes a pile of look-alike files.
Four states, no guessing.
A document with an expiry date is valid, expiring soon (within 30 days) or expired. One with no date is unknown. An empty slot is missing. State is shown in words and icons, not colour alone.
Open it on site, signal or not.
PDFs and images open in the in-app viewer. Pin the ones the crew needs and they stay on the phone for offline use. Select several and combine them into one PDF to send on.

Pinned documents open in the in-app viewer with no signal.
Every change leaves a mark.
Uploads, replacements and deletions are each written to the audit trail with who and when. They show in the project's Activity tab.
Where it stands today
- Vinclo does not send notifications when a document is about to expire. A lapsing document shows as a badge on its slot and as a condition in Portfolio.
