Receipts on the job the day they happen.

A foreman photographs the receipt. Vinclo reads it, matches the supplier, and the cost lands on the project. The office approves it from a list instead of a shoebox.

Sample data. Projects, people and vendors shown on this page are illustrative.

Point the phone at it.

OCR reads the vendor, amount, date and tax from the photo. It fills empty fields only, so anything the foreman already typed is never overwritten.

The supplier you already have, not a new spelling of it.

The vendor name read from the receipt is fuzzy-matched against your supplier directory, which also catches duplicates when suppliers are added. The category is picked by the person entering the expense.

Approve, reject, reimburse.

Each expense is approved or rejected, and out-of-pocket spending is marked reimbursed once it is paid back. Anything still waiting is counted in Portfolio.

No signal, no problem.

Expenses captured offline queue on the phone, per user, and sync on their own when the connection returns. A Queue screen lists what is still pending.

Where it stands today

  • OCR reads the receipt. It does not choose the category: a person does.
  • Expenses do not sync to QuickBooks Online. Invoices and credit memos do.

Empty the truck console. Keep the margin current.

We'll capture a real receipt on a phone and follow it to the project's costs.
